DEI Policy | Pynx Pro | Diversity Equity & Inclusion Policy

Pynx Productions is committed to creating a diverse, equitable, and inclusive environment for our employees, clients, partners. We believe that diversity enriches our work, enhances our creativity, and strengthens our ability to produce exceptional events. This policy outlines our commitment to ensuring that everyone is treated with respect and dignity, and has equal opportunities to participate in all aspects of our work. We adhere to the principles of the Ontario Human Rights Code and the Accessibility for Ontarians with Disabilities Act (AODA).
DEFINITIONS

Diversity: The presence of a wide range of human qualities and attributes within a group, organization, or society. These include, but are not limited to, ancestry, race, colour, ethnic origin, citizenship, creed, sex, sexual orientation, gender identity, gender expression, age, marital status, family status, and disability.

Equity: The principle of fairness. Equity recognizes that different people have different needs and circumstances, and that achieving fairness requires addressing systemic barriers and providing tailored support and opportunities.

Inclusion: The practice of ensuring that all individuals are valued, respected, and
supported, and have the opportunity to fully participate in all aspects of the work
environment and event experiences.

Accessibility: The design of products, devices, services, or environments so that theymay be used by all people, including people with disabilities.

SCOPE
This policy applies to all employees, freelancers, and partners of Pynx Productions. It covers all aspects of our operations, including but not limited to:

• Employment practices (hiring, promotion, compensation)
• Event planning and production
• Client interactions
• Vendor and partner relationships
• Communications and marketing materials
PRINCIPLES

Pynx Productions is committed to the following principles:

• Respect: We treat all individuals with dignity and respect, valuing their unique
perspectives and contributions.
• Fairness: We ensure that everyone has equal opportunities, and we address systemic barriers that may prevent individuals from fully participating.
• Inclusion: We create environments where everyone feels welcome, valued, and
supported, and where their voices are heard.
• Accessibility: We are committed to creating events that are accessible to everyone, regardless of their abilities.
• Accountability: We hold ourselves accountable for implementing this policy.
• Continuous Improvement: We are committed to ongoing learning and improvement inour DEI efforts, and we regularly review and update this policy to reflect best practices.
• Compliance: We comply with all applicable laws and regulations, including the Ontario Human Rights Code and the AODA.

RESPONSIBILITIES
• Leadership: The company’s leaders are responsible for championing DEI within the organization, providing resources, and ensuring that this policy is implemented and upheld.
• Managers and Supervisors: Managers and supervisors are responsible for promoting DEI within their teams, ensuring that employees are treated fairly and respectfully, and addressing any concerns or complaints.
• Employees & Freelancers: All employees and freelancers are responsible forcontributing to a positive and inclusive work environment, treating others with
respect, and adhering to this policy.
POLICY IMPLEMENTATION

Pynx Productions will implement this policy through the following actions:

Recruitment and Hiring: We will use inclusive hiring practices to attract and retain adiverse workforce. This includes:
• Posting job openings in a variety of places that reach diverse candidates
• Using inclusive language in job descriptions
• Ensuring that interview panels are diverse

Accessibility: We will ensure that workplaces are accessible to people with disabilities, in accordance with the AODA.

Communication: We will communicate our DEI policy to all employees, and
freelancers.

ACCOUNTABILITY

• Violations of this policy will not be tolerated and may result in disciplinary action, up to and including termination of employment or termination of contract.

• Pynx Productions will regularly review and update this policy to ensure its effectiveness and compliance with applicable laws.

Pynx Productions encourages anyone who believes they have witnessed or experienced a violation of this DEI Policy to report it promptly.
